Privacy Policy

1. The short version

We collect the information we need to run Seenvia for you, and not more. We do not sell your personal information. We use trusted service providers to operate the product, and we tell you what they do below.

2. Information we collect

  • Account information — your name, email, and login credentials.
  • Business information — the business name, address, phone number, locations, category, and similar details you provide so we can monitor your AI visibility.
  • Billing information — handled by our payment processor. We never see or store your full card number.
  • Usage information — how you interact with the dashboard, plus standard log and device data, used to improve the product and keep it secure.

3. How we use your information

  • To provide, operate, and improve the Service.
  • To run AI-visibility checks — which means sending queries about your business to AI platforms on your behalf.
  • To process payments and manage your subscription.
  • To communicate with you about your account and the Service.
  • To detect, prevent, and address security or technical issues.

4. Service providers we share data with

We use third-party providers (“subprocessors”) to run the Service. Each receives only the data needed to do its job:

  • Infrastructure and data storage — hosting, database, authentication, and file storage.
  • Payment processing — subscription billing and payments. We never see or store your full card number.
  • AI search providers — the AI assistants we query to check your visibility. We send business queries, not your account or billing data.
  • Email delivery — sending transactional and product email.
  • Product analytics and error monitoring — understanding how the product is used and diagnosing faults, including session replay (see cookies below).
  • Background job processing — running scheduled and background work.
  • Web fetching services — retrieving public directory and website pages where needed.

We describe these by category rather than by vendor name so this page stays accurate when a provider changes. If you want the current named list — for a vendor review, or just because you would like to know — email hi@seenvia.com and we will send it.

5. Cookies and analytics

We use cookies and similar technologies to keep you signed in and to understand how the product is used. Our analytics provider may record product analytics and session replays (recordings of interactions, with typed input never captured) to help us improve the Service. We do not use this data to sell advertising.

You can opt out at any time using the button below, and we honor Global Privacy Control (GPC) browser signals automatically — visitors whose browser sends GPC are excluded from analytics and session replay without any further action.

6. How long we keep your data

We keep your information for as long as your account is active and as needed to provide the Service. After you close your account, we delete or de-identify your personal information within a reasonable period, except where we must keep records to meet legal, tax, or security obligations.

You do not have to ask us to delete your data, or to get a copy of it. If you are the owner of your organization, go to Settings → Privacy & data, where you can download your organization’s data as a file, or delete the organization and all of its data outright. Deleting is permanent and removes the data of everyone in the organization, not only your own.

The download covers the records we hold about your organization, with two limits: very large tables are capped (the file marks which ones were shortened), and the raw responses we receive from AI providers are left out because they are large and add nothing beyond the processed results already included. If you are not the owner, or you want the raw responses or an uncapped copy, email hi@seenvia.com and we will put it together for you.

If you run a free visibility check without creating an account, we keep a short technical record of the request — the website address you entered, your IP address, and your browser’s user-agent string — so we can detect abuse of the free check and keep it available to everyone. We delete these records automatically after 90 days. They are not linked to an account, so if you later sign up, closing that account does not affect them.

7. Your California privacy rights (CCPA / CPRA)

If you are a California resident, you have the right to know what personal information we collect, to request that we correct or delete it, and to opt out of any “sale” or “sharing” of personal information. We do not sell or share your personal information, and we do not use it for cross-context behavioral advertising. You also have the right not to be discriminated against for exercising these rights.

If you own your organization, the fastest route for access and deletion is to do it yourself, from Settings → Privacy & data (see §6). For everything else — corrections, a request from someone who is not the organization owner, or anything you would rather we handled — email hi@seenvia.com. We will verify your request before acting on it.

8. No protected health information

Seenvia is not a HIPAA-compliant system. Please do not submit Protected Health Information (PHI) or other sensitive health data through the Service, even for dental, medical, or wellness businesses.

9. Security

We use industry-standard measures to protect your information, including encryption in transit and tenant isolation so each organization’s data is kept separate. No system is perfectly secure, but we work hard to keep yours safe.

10. Children's privacy

The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you.
